The problem is not the spreadsheet. It is the handover.
A sheet works while one person owns every enquiry. The moment enquiries arrive from Meta campaigns, IVR calls, Just Dial, WhatsApp and branch walk-ins at the same time, ownership becomes ambiguous. Two callers dial the same prospect, a third enquiry is never dialled at all, and nobody can prove which happened.
In chit funds and NBFC sales, that ambiguity is expensive twice over: the lead cost is already paid, and the compliance trail that a regulated business needs simply does not exist.
- No timestamped record of first response
- Duplicate calling across branches damages brand trust
- Campaign spend cannot be tied back to a subscriber or disbursal
- Branch managers review activity weekly instead of daily
What changes when capture is automated
The first structural fix is to remove humans from lead capture entirely. Meta lead forms, WhatsApp Business, IVR call logs, Just Dial and website landing pages should write into the same pipeline within seconds, each stamped with its source.
Once capture is automated, round-robin or rule-based allocation assigns an owner immediately, and a first-response SLA timer starts. Response time stops being a story and becomes a number on a dashboard.
Structure the pipeline around the regulated reality
Chit fund and NBFC journeys are not simple. A subscriber may need eligibility checks, document collection, guarantor details and branch verification before conversion. A generic sales pipeline built for software deals will not hold that.
We model the pipeline stages around the actual product journey, then attach mandatory fields and document uploads to the stages where compliance is decided rather than at the end.
- Stage-level mandatory fields prevent incomplete records
- Document capture at the stage where it is verified
- Branch and region hierarchy so managers only see their own book
- Full activity history retained per lead for audit
Measure three numbers, weekly
Teams that improve fastest track a very small set of numbers: median first-response time, contact rate by source, and conversion by source. Everything else is diagnostic detail.
When those three are visible per branch and per caller, coaching becomes specific and campaign budgets move to the sources that actually produce subscribers.
