One learner ID, or nothing else works
Most institutions automate in the wrong order: a fee tool here, an LMS there, an enquiry sheet somewhere else. Each works. Together they produce four versions of the same learner.
The first decision in any education ERP rollout is a single learner identity that persists from enquiry through admission, batch, exam, certificate and alumni status, across every branch.
Automate in this sequence
The sequence matters because each stage feeds the next with clean data.
- Enquiry and counselling, so admissions start from a tracked pipeline
- Admission and document management, with branch-wise visibility
- Fee and installment management, including reminders and receipts
- Batch, timetable and attendance
- Exam management and result processing
- Certificate generation and ID cards from the same record
- Referral handling and website integration to close the loop
Where multi-branch groups lose money
Fee leakage in multi-branch groups is rarely fraud. It is untracked installment plans, manual concession approvals and receipts issued outside the system during peak admission weeks.
Once installments are scheduled inside the ERP with automated reminders and a hard rule that receipts are only valid when generated by the system, collection visibility improves within one admission cycle.
Reports that academic heads actually use
Regulatory reports are necessary but they are not management tools. The reports that change decisions are weekly: enquiry-to-admission conversion by counsellor, attendance dips by batch, fee outstanding ageing by branch, and pass percentage by faculty.
Build those first and the rest of the reporting backlog shrinks on its own.
